This policy applies to all users of roomziee.com and the Roomzie app, including students, property managers, and visitors.

When you use the Platform, we automatically collect:
- IP address and approximate location (city level only)
- Device type, browser type, and operating system
- Pages visited, time spent, and interaction data for analytics
- Cookie and session data for authentication and Platform functionality
2.2 How We Use Your Data
We use your personal data for the following purposes:
- To create and manage your account
- To calculate compatibility scores between students in the same property
- To display your profile to other students within your property only
- To send transactional emails including verification links, password resets, and match notifications
- To allow property managers to view matched tenant pairs for leasing decisions
- To detect fraud, abuse, or violations of our Terms of Use
- To improve the Platform through aggregated, anonymised analytics
- To comply with legal obligations
We will never sell your personal data to third parties for advertising purposes.

Within the Platform
- Your profile (name, bio, photos, lifestyle tags, compatibility score) is visible only to other students within the same property
- Property managers can see that a student has joined their property, their move-in date, and verification status. They cannot see sensitive fields.
- Roomzie admins may access user data for verification, moderation, and customer support purposes

All third-party providers are contractually bound to handle your data in accordance with applicable privacy laws.
2.5 Data Retention
We retain your personal data for as long as your account is active. Specific retention periods:
- Account data: retained until you delete your account
- Messages: retained for 12 months after the last message in a conversation, then deleted
- Photos: deleted immediately when you remove them, or when your account is deleted
- Verification documents (ID uploads): deleted within 30 days of verification completion
- Match scores: recalculated when profiles are updated; old scores deleted automatically
- Logs and analytics: anonymised after 90 days, retained in aggregate form
2.6 Your Rights
Depending on your location, you have the following rights regarding your personal data:
- Right to Access: request a copy of all personal data we hold about you
- Right to Correction: request correction of inaccurate or incomplete data
- Right to Deletion: request deletion of your account and all associated data
- Right to Portability: request your data in a machine-readable format
- Right to Withdraw Consent: withdraw consent for optional data processing at any time
- Right to Restrict Processing: request that we limit how we process your data

2.8 Children's Privacy
Roomzie is not intended for users under the age of 16. We do not knowingly collect personal data from anyone under 16. If we become aware that a user is under 16, we will delete their account and all associated data immediately. If you believe a minor has registered, please contact us at hello@roomziee.com.
2.9 International Data Transfers
Roomzie is hosted on infrastructure based in the United States. If you are accessing the Platform from outside the US (including from India or the EU), your data will be transferred to and processed in the US. By using the Platform, you consent to this transfer. We ensure all transfers comply with applicable data protection laws.
2.10 Security
We implement the following security measures to protect your data:
- All data is encrypted in transit using HTTPS/TLS
- All data is encrypted at rest in our Supabase PostgreSQL database
- Passwords are hashed using bcrypt and never stored in plain text
- Access to production data is restricted to authorised personnel only
- Regular security reviews and access audits are conducted
- File uploads are validated for type and size before storage
In the event of a data breach, we will notify affected users within 72 hours as required by applicable regulations.
